A new accounting system set up properly, or a move between systems where both sets of reports have to agree before we call it done.

You are probably here because one of these is true.

You are on spreadsheets and have outgrown them.
You are on QuickBooks Desktop and need to be on Online.
You inherited a chart of accounts that nobody can read a P&L from.
A previous migration was done badly and the numbers never agreed.
Your integrations broke and nothing has reconciled since.
You are consolidating several companies onto one system.

Which version you need.

Setting up a clean system and moving a messy one are different jobs with different risks. This is the first thing we establish on the call.

NOTHING TO MOVE

New setup

  • Chart of accounts designed
  • Opening balances entered
  • Bank feeds connected
  • Training on hand-off

Usually within onboarding

SYSTEM TO SYSTEM

Migration

  • Assessment and gap analysis first
  • Chart of accounts mapped, not guessed
  • Opening balances carried across
  • Historical data validated in both systems
  • Integrations reconfigured

At least 30 days

RIGHT SYSTEM, WRONG STRUCTURE

Chart of accounts redesign

  • Existing structure assessed
  • Accounts redesigned around how you report
  • History remapped to the new structure
  • Class and location tracking set up

Scoped on the call

What is in, and what is not.

Included in every setup or migration

  • System assessment and gap analysis before anything moves
  • Chart of accounts mapping, or design where none exists
  • Opening balance migration, tied to the closing position it came from
  • Historical data import by direct connection, CSV or Excel
  • Bank feed connection and integration reconfiguration
  • Post-migration reconciliation of P&L, balance sheet and trial balance
  • Class and location tracking where you report by brand, division or site
  • A training session, and a written record of the decisions we made together

Not included

  • Your software licence. You pay QuickBooks or Xero directly, roughly $30 to $80 a month
  • Ongoing bookkeeping. Most clients start it after, but it is a separate engagement
  • IIF files into QuickBooks Online. IIF is a Desktop format and not a route into Online. We use a direct connection, or CSV and Excel
  • Cleaning up data that was wrong before it moved. Bad data migrated is still bad data, so cleanup is quoted separately
  • Tax filing, at any stage
HOW IT RUNS

Five stages, and the numbers have to agree before we finish.

The migration is validated when reports out of the new system reconcile to reports out of the old one. Not when the import finishes.

1Assessment and mappingWhat is in the source system, what shape it needs to be in, and a mapping you sign off before anything moves.FIRST WEEK
2You confirm the final setWe take reports out of the existing system and ask you to confirm which set is final. That set is what the new system has to reproduce.BEFORE IMPORT
3Import and configureData in, chart of accounts built, opening balances entered, feeds and integrations connected.THE BULK OF IT
4Reconcile old against newThe same reports produced from the new system and reconciled to the set you confirmed, from every angle.UNTIL THEY AGREE
5Training and hand-offA session on the new system, a written record of decisions, and the file is yours.FINAL DAYS

What you have at the end.

Named artefacts, not adjectives. Everything below is something you can open, forward or hand to a third party.

A working systemConfigured around how you actually report, not a default template.
A signed-off mappingEvery old account, where it went, and why. Readable a year later.
A reconciled comparisonThe same reports from both systems, agreeing, with the workings.
Feeds and integrations liveBank connections and the tools you already run, reconnected and tested.
A training sessionFor whoever will be in the system day to day, recorded if you want it.
A decisions logWhat we changed and why, so the next person does not have to guess.

WHO DOES THIS WORK

A named senior accountant

ACCA-qualified · Migration department · Reviewed by Quality Assurance

Migrations run out of a dedicated department that has moved businesses off Sage Intacct, Xero, QuickBooks Desktop, Wave, FreshBooks and Zoho. Every deliverable is checked by quality assurance before it leaves. You get the name of the senior accountant who owns yours on the first day.

WHAT IT COSTS

$25 to $40 an hour, scoped after we see the data.

We would rather scope a migration than guess at it. As a guide, with books reconciled and mapping agreed, allow at least 30 days. The two Sage Intacct to QuickBooks Online migrations we completed most recently took around two months each.

Price your ongoing bookkeeping instead
How much history movesOne year of comparatives, or everything since incorporation.
The source systemA direct connection is faster than a rebuild from exports.
Data quality going inIf it needs cleaning first, that is cleanup, and it changes the timeline.
IntegrationsEvery connected tool is another thing to reconfigure and test.
Entities and currenciesEach adds a ledger, a reconciliation and elimination at close.

Questions we get asked.

Hard to commit to before we see the data, and we would rather scope it than guess. As a guide, with books reconciled and mapping agreed, allow at least 30 days: import, then reconcile from every angle to confirm the migration is sound. The two Sage Intacct to QuickBooks Online migrations we completed most recently took around two months each.

We take the reports from the existing system and ask you to confirm which set is final, the one you expect to see in the new system. Once that is agreed we do the detailed work, then produce the same reports from the new system and reconcile the two. The migration is validated when both sets agree.

IIF is a QuickBooks Desktop format, not a route into QuickBooks Online. For a move to QuickBooks Online, the cleanest path is a direct Desktop-to-Online connection; where that is not available we import via CSV or Excel. We are comfortable with both.

Yes, QuickBooks Enterprise. These days most of our Desktop work is migration to QuickBooks Online rather than ongoing Desktop bookkeeping.

QuickBooks Online, for most businesses. It is more flexible, easier for a non-accountant to use, and integrates with more of the tools a business already runs. That said, the right platform is the one that fits your operation, and Xero is the better answer for some businesses.

Yes. We use class tracking to produce separate P&Ls per brand, division or business line, and location tracking where a business operates from multiple sites. For genuine consolidation across entities we handle inter-company elimination as part of the close.
